2010 Form W-2 Tips, Part 1, General Information
This is one in a continuing series on the 2010 Form W-2, Wage and Tax Statement, which employers must generally furnish to employees no later than January 31, 2011. Forms mailed on the due date are considered furnished if properly addressed. Employers unable to meet that deadline may file a request for extension of time to furnish the forms. Today we review general information regarding Form W-2.

Form W-2 Should Be Typed or Machine-Printed

Forms W-2 should be typed or machine-printed in black ink, using 12-point Courier font. Dollar signs and commas must be omitted, but decimal points and cents, even if zero, must be included. Forms W-2 must be prepared on a calendar year basis using pay dates, not work dates. Wages for work performed in 2009 and paid in 2010 are included and wages for work performed in 2010 and paid in 2011 are excluded.

Boxes a-f Contain Employee and Employer Identifying Information

Report the employee’s social security number (SSN) in box a. Employees who have applied for, but not received, an SSN should be reported with all zeroes and corrected on a Form W-2c. Enter in box b the employer’s employer identification number, not the owner’s SSN. Box c must contain the employer’s address as shown on Forms 941, 943, 944, CT-1 or Schedule H of Form 1040. Box d is an optional box for employer use to identify individual forms. Box e should report the employee’s name exactly as shown on the social security card. Suffixes such as Sr. or Jr. should only be included if on the social security card. Do not include professional and academic titles and degrees such as CPA or Ph.D. as part of the employee’s names. Names should not be changed on Form W-2 unless the employee has received a revised card from the Social Security Administration. The Address in box f should be the address where the employee receives mail. It is recommended that comma and periods not be used in delivery addresses. Foreign country names are not to be abbreviated.

Question of the Week: How Do I Know If Someone Is a Household Employee?

This week’s question comes from John, a homeowner. I read about the need for household employers to file Schedule H. I own a home and hire people to do work there, but am not sure if I need to file Schedule H. How do I know if someone is a household employee? Answer: According to the Internal Revenue Service (IRS), “If you hired someone to do household work and you were able to control what work he or she did and how he or she did it, you had a household employee. This is true even if you gave the employee freedom of action. What matters is that you had the right to control the details of how the work was done.” The IRS also lists the following types of workers who commonly do household work:

  • Babysitters
  • Caretakers
  • Cleaning People
  • Drivers
  • Health Aides
  • Housekeepers
  • Nannies
  • Private Nurses
  • Yard Workers

Furthermore, “[i]f a worker is your employee, it does not matter whether the work is full or part-time or that you hired the worker through an agency or from a list provided by an agency or association. Also, it does not matter if the wages paid are for work done hourly, daily, weekly, or by the job.”

Question of the Week: How Do I Report and Pay Payroll Taxes for Household Employees?

This week’s question comes from Sarah, a household employer. I withheld payroll taxes from my household employees. How do I report and pay payroll taxes for household employees? Answer: Household employers should prepare and file Schedule H (Form 1040), Household Employment Taxes to report and pay payroll taxes if they answer yes to any of the following three questions:

  1. Did you pay any one household employee cash wages of $1,700 or more in 2009?
  2. Did you withhold federal income tax during 2009 for any household employee?
  3. Did you pay total cash wages of $1,000 or more in any calendar quarter of 2008 or 2009 to all household employees?

Household employers should attach Schedule H to Form 1040, Form 1040NR, Form 1040-SS, or Form 1041 if filing any of those forms. If not, Schedule H must be filed separately.
